Link Disc Golf Privacy Policy

This Privacy Policy (“Policy”) describes how Link Disc Golf LLC, a Michigan limited liability company (“Link,” “Company,” “we,” “us,” or “our”), collects, uses, discloses, and protects information in connection with:
- our website located at www.linkdiscgolf.com (the “Site”);
- our indoor disc golf simulator platform, including any companion application, launcher, or in-venue software (collectively, the “Simulator”); and
- related products and services, including commercial venue accounts, player accounts, and purchases (collectively with the Site and Simulator, the “Services”).
By creating an account, using the Simulator, or otherwise using the Services, you agree to the collection and use of information as described in this Policy. This Policy should be read together with our Terms and Conditions of Sale.
1. Scope of This Policy
This Policy applies to personal information collected through the Services, whether you are:
- a player using the Simulator at a commercial venue or in a consumer setting;
- an individual creating or managing a player account;
- a commercial venue operator (bar, retailer, resort, or similar business) purchasing or administering the Simulator (“Venue Operator”); or
- a visitor to the Site.
Link serves users in the United States, the European Union, and the United Kingdom. Section 8.3 below sets out additional rights and disclosures applicable to individuals located in the EU and UK.
2. Information We Collect
2.1 Account and Identity Information
When you create a player account, we (through our identity provider) collect information such as:
- first and last name;
- email address;
- phone number (if provided);
- mailing address (if provided, e.g., for shipping or billing);
- username and authentication credentials.
Account and authentication data is processed on our behalf by our identity management provider. We do not store your password in plain text.
2.2 Payment and Purchase Information
All payments across our storefronts are processed by Stripe, our payment processor. Link does not directly collect or store full credit card numbers. Depending on where you make a purchase, your purchase and entitlement information follows one of two paths:
- WooCommerce purchases: purchases made through our WooCommerce storefront (www.linkdiscgolf.com) are processed via Stripe and recorded in WooCommerce as order and billing records. Corresponding in-Simulator entitlements are then granted based on that order.
- Xsolla purchases: purchases made through Xsolla-integrated storefronts or in-Simulator purchase flows are processed via Stripe and recorded in Xsolla as SKU-level entitlement grants tied to your player account.
In either case, we (or our payment and entitlement processors) retain limited transaction records, such as purchase history, order or entitlement identifiers, billing name and address, and the last four digits and type of payment method used, as provided to us by Stripe.
2.3 Simulator and Gameplay Data
The Simulator is used with Bluetooth-connected smart discs. When you use a supported smart disc with the Simulator, we may collect gameplay and performance data, such as:
- throw data (e.g., speed, spin rate, release angle, and other flight metrics reported by the disc);
- in-simulator performance statistics (e.g., scores, course completion, hole results);
- device identifiers associated with the Bluetooth disc used to connect to the Simulator.
This data is associated with your player account to support features such as statistics tracking, leaderboards, and Ace Race or Closest-to-Pin (CTP) results.
2.4 PDGA and Partner Program Data
If you choose to link a PDGA number or connect a partner program to your account, we may collect and store:
- your PDGA member number and associated public rating, as retrieved via the PDGA API;
This information is only collected if you affirmatively choose to link these accounts or programs.
2.5 Venue Operator Information
If you represent a commercial venue, we collect business contact information such as business name, business address, contact name, email, and phone number, in order to establish and administer a Venue account, process commercial purchases, and provide support.
2.6 Website Usage and Cookies
When you visit the Site, we and our service providers may automatically collect certain information using cookies and similar technologies, such as IP address, browser type, device type, pages visited, and referring URLs, for purposes such as operating the Site, remembering preferences, and understanding aggregate usage. You can control cookies through your browser settings; disabling cookies may affect Site functionality.
2.7 Demographic Information
We may collect anonymous demographic information not unique to you, such as age range or gender, where voluntarily provided (for example, in account setup or a survey).
3. How We Use Information
We use the information described above to:
- create and administer player and Venue accounts;
- operate and deliver the Services, including simulator gameplay, statistics, and leaderboards;
- process purchases, grant entitlements, and manage billing;
- verify and apply PDGA ratings or partner benefits you choose to link;
- provide customer and venue support;
- send you service-related communications (e.g., purchase confirmations, account notices);
- send you marketing or promotional communications, where permitted, and in accordance with your preferences;
- maintain the security and integrity of the Services;
- comply with legal obligations and enforce our agreements, including our Terms and Conditions of Sale.
4. Third-Party Service Providers
We use the following third-party service providers to operate the Services. These providers process personal information on our behalf and are contractually restricted from using it for any purpose other than providing services to us:
- Auth0 — identity and authentication, manages account login.
- Xsolla — entitlements and virtual item management for Xsolla-integrated purchases.
- Stripe — payment processing across all of our storefronts.
- WooCommerce — e-commerce storefront platform for our online store.
- Microsoft Azure — cloud hosting and PostgreSQL database infrastructure; stores account and gameplay data.
- PDGA — provides ratings and membership data you choose to link to your account.
5. Sharing and Disclosure
Link does not sell, rent, or trade your personal information to third parties for their own marketing purposes.
We may disclose information:
- to the third-party service providers described in Section 4, to operate the Services;
- to a Venue Operator, limited to information reasonably necessary for that venue to operate the Simulator you used at that location (e.g., session or gameplay data tied to that venue’s hardware), where applicable;
- if required by law, subpoena, or other legal process;
- to protect the rights, property, or safety of Link, our users, or the public;
- in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections;
- with your consent, or at your direction.
6. Data Retention
We retain personal information for as long as necessary to provide the Services, fulfill the purposes described in this Policy, and comply with our legal, tax, and accounting obligations. When personal information is no longer needed for these purposes, we take reasonable steps to delete or anonymize it, or securely store it and isolate it from further use until deletion is possible.
7. Security
We use administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights and Choices
8.1 Access, Correction, and Deletion
Subject to certain legal exceptions, you may request access to, correction of, or deletion of your personal information by contacting us using the information in Section 12. We may not be able to delete information that we are required to retain for legal, security, fraud-prevention, or contractual reasons (for example, completed transaction records or information needed to maintain an active entitlement).
8.2 Marketing Communications
You may opt out of marketing emails at any time by using the unsubscribe link included in those emails. You will continue to receive transactional and account-related communications even if you opt out of marketing.
8.3 Rights for Individuals in the EU and UK
If you are located in the European Union or United Kingdom, the following additional terms apply:
- Legal basis for processing: we process your personal information based on the performance of a contract with you (e.g., to provide the Services you request), our legitimate interests (e.g., securing and improving the Services), your consent (e.g., for marketing communications), and compliance with legal obligations.
- Your rights: you have the right to request access to, correction of, deletion of, or a portable copy of your personal information, and to object to or request restriction of certain processing. You may also withdraw consent at any time where processing is based on consent.
- International transfers: because our service providers and infrastructure are based in the United States, your personal information may be transferred to and processed in the United States. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for such transfers.
- Supervisory authority: you have the right to lodge a complaint with your local data protection supervisory authority.
8.4 Other Jurisdictions
Depending on where you live, you may have additional rights under applicable law regarding your personal information. You may exercise any such rights by contacting us using the information in Section 12.
9. Children’s Privacy
The Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without verified parental consent, we will take steps to delete that information. If you believe a child under 13 has provided us with personal information, please contact us using the information in Section 12.
10. Changes to This Policy
We may update this Policy from time to time, including to reflect changes in our practices, technology, or legal requirements. If we make material changes, we will provide notice by posting the updated Policy on the Site with a new effective date, and, where appropriate, by additional notice (such as email). Your continued use of the Services after an updated Policy takes effect constitutes your acceptance of the updated Policy.
